Contracting: HVAC, electrical and plumbing

Answer every service call, quote it from your own price book and get paid before the technician leaves the job.

Calls get written on a pad by the phone, two technicians quote the same repair at two different prices, the capacitor and the fittings come off the truck and never reach the invoice, and the paperwork is typed up days later. We set up service calls that become assigned jobs, a flat-rate price book every technician quotes from, a stock location for every truck, and a repair that turns into an invoice the customer pays on the spot.

  • Every call logged, prioritised and assigned
  • The same price for the same job, whoever quotes it
  • Parts used on the invoice, paid by card on site

Service calls

Log every call with the customer's history beside it, so the right technician goes out knowing what was done last time.

When the calls live on sticky notes, the emergency waits behind the routine one, the callback gets forgotten and nobody knows the unit was serviced in spring. Each call becomes a ticket with the customer, the trade, the priority and the technician, moving from new to in progress to done on a board the office and the field both see. Calls by email and from the customer portal land on the same board, and the customer's past jobs, quotes and invoices are one click away when the phone rings again.

  • Calls by phone, email and the customer portal on one board
  • Emergencies flagged and seen first
  • The customer's past jobs and invoices beside the call
  • Agreement customers recognised and priced as members

Quotes from the price book

Quote from a flat-rate price book, so every technician gives the same price and the customer signs on the spot.

Pricing from memory means one technician leaves money on the table and the next one loses the job, and a quote written on the back of a work order is easy to dispute later. Your repairs and installs go into a price book by trade, each with its flat rate and its cost, and members of your maintenance club get their discount automatically. On site the technician builds the quote on a tablet from the price book, the customer signs it there, and the office sees it the moment it is accepted.

  • A price book of flat rates by trade, with the cost behind each
  • Member pricing applied automatically to agreement customers
  • Quotes built on a tablet and signed by the customer on site
  • The margin on every quote before it is sent
Parts on the truck

Know what is on every truck, take each part off as it is used, and restock from a list instead of a walk around the shelves.

Parts walk off the truck without a record, the technician drives back to the shop for a contactor that was in the other truck, and the invoice misses the hard start kit nobody wrote down. Each truck is its own stock location. The parts used on a repair come off that truck and onto the job, so they reach the invoice, and a minimum and maximum per truck turns into a restock list for the shop and a purchase order for the supplier when the shelf runs low.

  • A stock location for every truck
  • Parts used on the repair taken off the truck and billed
  • Restock lists from a minimum and maximum per truck
  • Supplier orders raised when the shop runs low
Invoicing on site

Finish the repair, add the parts and the hours, and hand the customer an invoice they can pay from their phone.

An invoice typed up a week later is an invoice paid a month later, and a customer asked to pay for something they barely remember is a customer who disputes it. The repair order carries the unit, the diagnosis, the parts and the labour. When the job is done it becomes the invoice, emailed before the technician packs up, with a link the customer pays by card, and the payment is matched in the books when it arrives in the bank.

  • The repair order with the unit, the notes, the parts and the labour
  • The invoice sent from the job, with a link to pay by card
  • Hours from a start and stop timer on the job
  • Payments matched in the books automatically
